About The Role
We are looking for an outstanding Executive Assistant for our Managing Director of our mortgage services company, Alexander Hall. You will work very closely with the Managing Director to provide administrative support on a one-to-one basis, ensuring he is making the best use of his time. This role will require you to gain a strong insight into Alexander Hall, become familiar with key personnel and understand the organisation’s aims and objectives. Strong organisational and communication skills, attention to detail, confidence, loyalty, discretion and confidentiality are essential attributes for this role.

Main Responsibilities:

• Acting as the first point of contact on behalf of the MD, liaising with external personnel, suppliers and staff.
• Dealing with incoming emails and post, often corresponding on behalf of the MD.
• Organising the MD’s social diary of breakfasts, lunches, dinners and evening engagements, booking venues and overnight accommodation as necessary.
• Managing a constantly changing and very busy diary in outlook.
• Organising external and internal meetings, any necessary travel and ensuring the MD is fully prepared for meetings.
• Producing agendas, documentation, expense reports, briefing papers, reports and presentations as requested by the MD.
• Sourcing, negotiating fees, booking venues and full event management for companywide events such as incentive trips, awards nights and team building days.
• Writing and handling external and internal correspondence, screening calls and balancing priorities.
• Devising and maintaining office systems, including data management and filing.
• Carrying out specific projects and research such as profile writing and background reading
