Build To Rent Co-ordinator & PA to Managing Director

Salary Details:
£26,000 - £40,000 per annum (depending on experience)
About The Role

We are hiring an exceptional Team Co-ordinator & PA to oversee the administrative side of our highly successful Build to Rent team and conduct PA duties for our Managing Director of Institutional PRS and Build to Rent. Reporting into the Managing Director, you will work closely with senior stakeholders and the rest of the Build to Rent team to ensure that the department continues to excel within Foxtons and the Build to Rent space.

Key responsibilities include:

  • Reviewing and updating the Build to Rent department’s figures on a daily, weekly, and monthly basis.
  • Developing positive relationships with Foxtons employees across out network of 60 branches as well as our Lettings Support and Property Management teams at our headquarters.
  • Liaising with Foxtons Managers across all regions of London and Surrey regarding their Build to Rent stock and answering any questions they might have.
  • Carrying out weekly audits of property listings to ensure they are presented correctly online.
  • Reviewing and approving tenancy documents including, but not limited to, Terms and Conditions, tenant references, and tenancy agreements.
  • Helping produce materials and documents for new business ‘pitches’, including collating Excel information and liaising with our in-house Production to make sure they have all necessary information to produce new artwork.
  • Liaising with our Photography team to book appointments on behalf of clients.
  • Organising department meetings, creating agendas, producing relevant documents, taking minutes, and distributing these in a timely manner afterwards.
  • Planning and organising ad hoc events.
  • Assisting the Managing Director with ad hoc duties as required, including submitting expenses, collating information for both internal and external meetings and PA duties. 
  • Attending and supporting senior management in external meetings with clients and producing follow up notes.
About You

We are looking for somebody with exceptional organisational, administrative, and time management skills to take on our Build to Rent Co-ordinator & PA role. You will be competent in both Excel and PowerPoint and have strong communication skills. Whilst you don’t need experience in property we are looking for an enthusiastic and proactive individual who is a quick learner and who has the desire to do the job well.
